Nondisclosure and Data Protection when Creating Safety Data Sheets and Other Documents

While creating new Safety Data Sheets, your duty of information always refers to the country in which the product is put on the market. However, if your customer is an international company, you will probably be asked for either complete formulations or the particular national information. If the recipe is not known anyway, as is the case with analyticals, of course, it should not be passed on. Therefore Qualisys determines the requested data for you. Since the creation of Safety Data Sheets is an integral element of ou daily business, we can usually create Safety Data Sheets based on generally available data or supplier data. These are more correct, consistent and complete.

We can provide you with directions for optimizing your products with regards to hazardous substance law, which is being constantly evolved and expanded. Your Safety Data and Confidentiality Agreement

It is your decision which data you want to release. Some companies will only process Safety Data Sheets inhouse because they worry about loss of information. We offer you a nondisclosure agreement to prove our reliability. Just let us know what you publish in your Safety Data Sheets, which Data Sheets you have from your suppliers or which information you consider not to be classified or proprietary. You can state amounts for raw materials in a formulation or leave out non-hazardous supplements. Be aware that a classification might reveal more information than an area. Area specifications are not only harmful but illegal in some countries. Qualisys will provide you with more complete, correct and consistent Safety Data. Suppliers with a nondisclosure agreement might offer us more information than you as a manufacturer might get.

Safety Data Sheets Creation always Considering GDPR

However, handling the safety data is more important than the formal agreement. We use encryption and access restrictions with the best available technology and take organisational measures to prevent unauthorized access to the data. All of our servers are regularly updated with the latest security updates. They are located in Germany and are therefore subject to the GDPR (General Data Protection Regulation) and German data protection law. Our safety concept is continuously developed. We also are always available for a supplier audit. The most important thing however: servers accessible on the internet only contain the information about your products that you also publish in your Safety Data Sheets. Critical data risks are thus excluded as far as possible.

Nondisclosure Goes without Saying

Our safety data result from secured data. Qualisys has set up a network consisting of organisational and technical measures to avoid your information falling into the wrong hands. It is our goal to protect your data at different levels (spatial, technical and organisational):

  • Individual information will generally not be passed. (We therefore do not publish names of reference customers online.)
  • Our self-developed working software includes an elaborated safety concept.
  • Only selected staff has access to non-public data.
  • For security-relevant data processing we use OpenSource-software.
  • Our server system doesn't contain confidential data.
  • Careful system administration prevents attacks.
  • Our employees are trained in handling sensitive data and in the destruction of documents that are no longer required.

Furthermore you can conclude a non-disclosure agreement with us in written form at any time. Therefore we can use our template, but we will also sign your own wording. We take secrecy for granted.
